This Privacy Policy describes how Spacion (“Spacion,” “we,” “us,” or “our”) collects, uses, stores, retains, and deletes personal information in connection with our Microsoft AppSource / Microsoft Marketplace “Contact Me” listing, related inquiry forms, and email we receive when you ask to be contacted about Spacion. It also covers the public websites, applications, and platforms we use to receive and respond to those inquiries.

This policy is written for the Contact Me listing. It is not a customer data-processing agreement and it does not describe how a deployed Spacion tenant, Microsoft Dataverse environment, or Digital Twin processes your organization’s business data. If you later become a customer, that processing is covered by a separate agreement.

1. Who we are

Spacion is an AI-assisted workspace and real-estate operations product. For this listing, we are the organization that receives “Contact Me” inquiries from Microsoft AppSource and replies to people who ask about the product.

2. Scope

This policy applies to:

  • The Spacion listing on Microsoft AppSource / Microsoft Marketplace when the acquisition action is Contact Me.
  • Contact information Microsoft provides to us so we can respond to your inquiry about this listing, as described in the Microsoft Publisher Agreement.
  • Messages you send us by email or a public contact form about Spacion.
  • Limited technical data created when you open this policy or a public Spacion page that hosts it.

This policy does not apply to Microsoft’s own collection of data on AppSource. Microsoft’s processing is described in the Microsoft Privacy Statement. We do not control Microsoft’s sites.

3. Personal information we collect

3.1 Information you or Microsoft give us

When you choose Contact Me or otherwise ask us to reach you, we may receive:

  • Name and job title.
  • Work email address and phone number.
  • Company or organization name, country, and similar business identifiers.
  • The content of your message (for example, interest in a briefing, proof of concept, or pricing).
  • Any other details you choose to include.

Microsoft may share customer contact information with us solely so we can respond to an inquiry about an offer listed in the Microsoft Marketplace. We use that information only for that transactional purpose.

3.2 Information we collect automatically

If you open this policy or a public Spacion page, our hosting provider may log the date and time, approximate region, browser type, and referring URL. We do not use that log to build advertising profiles.

3.3 Information we do not collect through this listing

The Contact Me listing does not install Spacion into your Microsoft tenant. Through this listing we do not collect:

  • Microsoft 365 or Dataverse records from your tenant.
  • Member, booking, invoice, or twin data.
  • Payment card numbers.
  • Precise geolocation or biometric data.
  • Information from children.

4. How we use personal information

We use inquiry data to:

  • Respond to your request and schedule a conversation, demonstration, or assessment.
  • Understand which organization is asking and whether Spacion is relevant.
  • Keep a record of the inquiry and our reply (sales and support administration).
  • Meet legal, accounting, and security obligations.
  • Improve how we handle inbound requests (for example, spotting incomplete contact details).

We do not sell personal information. We do not use Contact Me inquiry data to run third-party targeted advertising. We do not train public AI models on your inquiry content.

5. How we share information

We share personal information only as needed to handle your inquiry:

  • People on the Spacion team who reply to marketplace and sales inquiries.
  • Service providers who host email, documents, or our public site (for example, Microsoft 365). They may process data only on our instructions.
  • Professional advisers if required for a legal or security matter.
  • Authorities when the law requires it, or to protect people, our rights, or the security of our systems.

If we are involved in a merger, financing, or sale of assets, inquiry records may transfer to the successor, who must protect them consistent with this policy or give you notice.

We do not sell personal information and we do not share it for cross-context behavioral advertising.

6. Storage, security, retention, and deletion

6.1 Where it is stored

Inquiry records are stored in business systems we control or that our providers operate for us, primarily in the United States. Members of our team in other countries (including India) may access those records in order to respond to you. When we transfer personal information internationally, we do so for the purposes in this policy and use appropriate contractual and access controls.

6.2 Security controls

We limit access to inquiry records to people who need them to respond or to administer the listing. Access uses individual accounts, not shared passwords. Systems sit behind the provider’s standard encryption in transit (TLS) and at rest. We do not publish inquiry inboxes on the public internet. No method of transmission or storage is perfectly secure; we will notify you if a breach affecting your inquiry data requires notice under applicable law.

6.3 Retention

We keep Contact Me and related inquiry records for up to twenty-four (24) months after the last meaningful contact, or longer if we must retain them for a legal claim, audit, or accounting record. If you become a customer, relevant correspondence may be kept for the life of the customer relationship under that separate agreement.

6.4 Deletion

When the retention period ends, we delete or irreversibly de-identify the inquiry record from our active systems. Backup copies age out on the provider’s backup cycle. To ask us to delete your inquiry data sooner, email privacy@spacion.ai. We will delete it unless we must keep a limited record (for example, that we already answered you, or that the law requires us to retain it).

7. Your choices and rights

You can refuse to submit a Contact Me request. If you already submitted one, you may email privacy@spacion.ai to:

  • Access the inquiry information we hold about you.
  • Correct inaccurate contact details.
  • Ask us to delete the inquiry, subject to Section 6.4.
  • Ask us to stop using your details for further outreach about this listing.

Depending on where you live (including certain U.S. states and the EEA/UK), you may have additional rights to restrict processing, object, or receive a portable copy. We will not discriminate against you for exercising these rights. We may need to verify that the request comes from you. If we deny a request we will explain why and how you can appeal.

If we process inquiry data about you on behalf of your employer, we may direct you to that organization where the request is really about their records.

8. Children

Spacion and this listing are offered to businesses, not to children. We do not knowingly collect personal information from anyone under 16. If you believe we have received such information, contact privacy@spacion.ai and we will delete it.

9. Cookies and this policy page

The page that hosts this policy may use a strictly necessary cookie or similar technology so the site functions. We do not use advertising cookies on the policy page. If that changes, we will update this section.

10. How long this policy lasts; changes

We may update this policy when our listing, providers, or the law changes. The “Last updated” date at the top will change. Material changes will be posted at the same public URL. Continued contact with us after an update means the revised policy applies to later inquiries.

Microsoft operates AppSource / Microsoft Marketplace. Microsoft may collect and share information as described in the Microsoft Privacy Statement and the Microsoft Publisher Agreement. Spacion is not Microsoft. Microsoft does not provide your privacy support for this listing; we do.
